To ensure the most seamless and straightforward experience when booking serviced apartments, it is always good to have a checklist to make sure you or your travellers are prepared the stay.

We’ve been booking serviced apartments for many years and here’s a curated list of the most important points to cover before arriving at the property. Some of these items may be worth checking before confirming the booking as well.

1. Apartment Information

  • Exact Address: Verify the apartment’s precise location and familiarize yourself with nearby landmarks to facilitate easy navigation.

  • Contact Information: Save the contact details of the apartment manager, including after-hours support, to address any immediate concerns.

  • Check-in Process: Confirm the check-in time and method, whether it’s a physical key, key card, or digital access, along with any special instructions. Digital check-in codes are usually provided 48 hours prior to arrival.

  • Check-out Procedure: Understand the check-out time, key return process, and any post-stay inspections to ensure a smooth departure. Post-stay inspections usually occur on the same day, however your security deposit may only be refunded 7 days after check-out.

  • Apartment Layout: Acquaint yourself with the apartment’s layout, including the number of bedrooms, bathrooms, and additional spaces like a balcony.

 

2. Amenities and Services

  • Work setup: Most apartments come with a dining table to comfortably work on a laptop, but it is best to check if a dedicated work space is available like a desk.
  • Included Amenities: Confirm the provision of essentials such as linens, towels, toiletries, kitchenware,  and ironing equipment.

  • Housekeeping Schedule: Check the frequency of cleaning services and linen changes.

  • Technology Features: Ask about the speed of the WiFi, availability of a smart TV, charging ports, and other technological necessities.

  • Kitchen Setup: Verify that the kitchen is equipped with necessary appliances like a microwave, hob, fridge, oven, along with adequate utensils.

  • Laundry Facilities: Determine whether laundry facilities are in-unit or shared, and note the availability of detergent.

  • On-Site Services: Enquire about additional services such as dry cleaning, room service, or concierge assistance.

  • Security and Access: Confirm building access codes, security measures, and guest policies to ensure safety and compliance.

  • Parking Information: Ascertain the availability of parking, whether it’s complimentary or paid, and if reservations are necessary.

  • Shared Amenities: Explore access to communal spaces like the gym, pool, rooftop, meeting rooms, co-working or lounge areas.

  • Lifts: Verify the presence of lifts and that they reach the floor of your apartment.

  • Grocery and Convenience Stores: Locate nearby supermarkets, pharmacies, or 24/7 convenience stores for everyday needs.

  • Dining Options: Research local restaurants, cafes, and delivery services

  • Business Centres: Note any nearby coworking spaces or business hubs if additional workspace is required.

 

5. Financial and Booking Details

  • Payment Method: Confirm payment details, required deposits, and the refund process to avoid any financial discrepancies.

  • Additional Fees: Be aware of potential extra charges such as cleaning fees, late check-out fees, or amenity fees.

  • Cancellation Policy: Familiarize yourself with the property’s cancellation terms and conditions.

  • Receipts and Invoices: Ensure that detailed invoices will be provided for accurate expense reporting.
